The Document Management module in GoWorldPEO allows you to handle all employment-related document requests in one central place. From generating templates to monitoring completion status, this section ensures a smooth and compliant documentation process for both administrators and employees.
Navigation
To access Document Management:
1. From the left-hand menu, click Document Management.
2. You will see one subsection: Document Request – to view and track all document requests.
Document Request Overview
The Document Request page lists all requests generated for employees. Each request corresponds to a specific document template based on the employee’s country of employment and employment type (e.g., Local or Expatriate).
| Column | Description |
|---|---|
| Request ID | Unique identifier automatically generated for each document request. Useful for referencing or support queries. |
| Template Name | Indicates the document type and employment category (e.g., Malaysia – Local, China – Expatriates). Templates are pre-set according to country compliance requirements. |
| Employee Name | Shows the name of the employee associated with the document request. |
| Country of Employment | Displays the employee’s work location and employment category (e.g., Singapore – Local – EN). |
| Request Date | The date when the document request was initiated. |
| Completion Rate | Tracks the number of completed forms or uploaded documents versus total required items (e.g., 0/8 means 0 of 8 steps completed). |
| Last Submission Date | The most recent date an employee submitted or updated the requested document. |
Search Function
At the top of the page, there’s a search bar to quickly locate a document request by entering the employee’s name.
How to use it:
1. Click inside the search bar.
2. Type part or full of the employee name (e.g., “Kevin”).
3. The table will auto-filter to display only matching results.
This is useful for administrators managing large volumes of requests across multiple countries.
Tracking Document Requests
Admins and HR teams can use the Request Date, Completion Rate, and Last Submission Date columns to monitor document status.
Common Use Cases:
1. Identify overdue submissions (no update after a week).
2. Track employees with incomplete onboarding paperwork.
3. Ensure compliance deadlines are met for each country.
Example Scenario
Let’s say you’ve hired a new employee in Japan.
1. You create a Document Request using the Japan – Local template.
2. The request appears in the table with a new Request ID and status 0/8.
3. The employee uploads their documents via the employee portal.
4. As each step completes, the Completion Rate updates automatically (e.g., 4/8 → 8/8).
5. Once all items are verified, the Last Submission Date is recorded, and the request is marked complete.
